Administrative Specialist

An established agency is actively seeking an Administrative Specialist to join their team. Responsibilities:
- Welcome visitors to the office with a friendly demeanor and handle incoming phone calls routed through the main line.
- Assist the Controller across various functions including accounting, finance, HR, marketing, and technology.
- Provide administrative support to both the leadership and service teams as required.
- Maintain and update insurance licenses for staff, ensuring compliance with continuing education requirements.
- Coordinate schedules for client meetings, staff lunches, and agency events.
- Manage incoming and outgoing mail and shipments efficiently.
- Oversee downloads to the Agency Management System from insurance companies.
- Maintain inventory and manage office supplies and equipment.
Qualifications/Requirements:
- Proven experience in an administrative role, demonstrating strong organizational and multitasking abilities.
- Proficiency in using office software such as MS Office (Word, Excel, Outlook) and familiarity with office equipment.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks and work independently in a fast-paced environment.
- Attention to detail and a proactive approach to problem-solving.
- Knowledge of insurance industry practices (preferred).
Compensation Package
- Compensation: Between $20 - $23/hr (based on experience).
